Designing Effective and Inclusive Discussions in Virtual Environments

Abstract
Virtual conferencing platforms offer significant opportunities for engagement and collaboration, even in the face of challenges such as technology limitations, language barriers, and participant reticence. This presentation provides a framework for designing and facilitating effective virtual discussions, emphasizing clear objectives, inclusivity, and thoughtful activity design to effectively conversations with partners in the nuclear management field. Using principles from backward design theory, this session will guide facilitators in planning sessions by first identifying intended outcomes. It highlights the importance of starting with clearly defined goals that address the audience's needs, forming the foundation for effective session planning and design. The discussion will also explore strategies for selecting appropriate discussion formats – brainstorming, information sharing, and problem-solving, for examples – and crafting clear, open-ended questions to foster deeper engagement and build a sense of community in virtual environments. We will also discuss the importance of facilitators clearly communicating goals and desired outcomes to participants. By setting a clear structure, participants can better understand the session's purpose and how they can contribute. Addressing these needs openly helps build trust, fosters a collaborative environment, and ensures participants feel supported throughout the discussion. Equity in participation is central, with recommendations for engaging quieter participants through tools like chat, polls, and nonverbal feedback buttons. Facilitators should establish ground rules to promote mutual respect and smooth communication. Drawing on a practical approach to methodology and my five years of experience assisting in planning and implementing virtual events, this session aims to empower facilitators to create inclusive and impactful virtual discussions, transforming challenges into opportunities for meaningful interaction, collaboration, and learning.
